Approval workflow checklist for HCP engagements

Use this checklist to structure HCP and event requests before they become email chains.

The problem with email-based approvals

Email can move a request forward, but it rarely creates a reliable operating record. Context is scattered, attachments drift, approvers see different versions, and leadership loses visibility into what is pending, blocked, or repeatedly changed.

For HCP engagements, the approval workflow needs to capture both decision control and operational context.

Minimum fields every request should capture

Start with the business basics: event type, objective, date, location, owner, estimated investment, expected audience, HCP or HCO details, required documents, and the requested decision.

Then add the controls that make the workflow useful: budget source, policy confirmations, supporting references, vendor details, speaker information, and post-event follow-up requirements.

Routing rules

Approval routing should be explicit. A good workflow defines who reviews the request, what each person is responsible for, when escalation happens, and what changes are required before resubmission.

The workflow should also record comments, decisions, timestamps, and the reason behind each change. This turns approval history into management intelligence, not just compliance storage.

After approval

The best workflows continue after the decision. They trigger next actions, collect final documents, reconcile budgets, and keep the commercial team aligned on what was approved versus what actually happened.

That is how approval workflows become an operational system instead of a gate.
